Challenge

Building Administrators face challenges in accurately tracking and managing their monthly payments, often leading to inefficiencies and errors due to manual processes and disparate payment systems. This lack of streamlined payment tracking hampers their ability to maintain accurate financial records and allocate resources effectively.

Results

We have designed a rapid and efficient tenant debt tracking system. In property management, precision in monitoring tenant debts is crucial. Our streamlined solution integrates seamlessly, simplifying the process, reducing errors, and fostering better tenant relationships through effective financial management.

Process

Research & Analysis

Despite facing challenges in obtaining precise data in housing and building administration throughout the Balkans, our attention was captivated by a specific statistic on Residential Rental Delinquency According to the National Multifamily Housing Council (NMHC) data:

“From 2022, the average rent payment completion rate was around 95% to 96% for professionally managed properties in the United States.”

While keeping the above statistic in mind, we analyzed the most popular apps surrounding Building Administration space available in our region. We found that almost none of them had this aspect of extended receipt customization and renting features. This then became our opportunity for the solution.

Exploration / Wireframing

We were pleasantly surprised by the initial iteration of wireframing, as it was accepted with minor adjustments following A/B testing of various user flows. During the wireframe evaluation process, a Tech Lead played an integral role in ensuring the alignment of design concepts with feasible development parameters. Their presence and insights proved instrumental in maintaining a scope that remained well within the bounds of practical implementation.

Design System

Our design system is rooted in our company's established framework, serving as the project's foundational basis. We extended this foundation to cater to our product's specific requirements. This system adheres to atomic design principles and is organized into two distinct files: one housing base components, and the other containing production patterns alongside pages. Our design choices include an 8pt font scale system for typographic consistency and a simple color scheme to ensure coherence.

Handoff

The handoff process involved the new Figma Dev Mode and with a plugin Locofy.io the developers were to able to export most of the style code from Figma. We also provided documentation pdf-s of the design system and page designs.

Conclusion

The impact of our system is two-fold. Firstly, it significantly reduces the occurrence of errors, saving both time and resources. Secondly, the enhanced accuracy fosters better tenant relationships, built on a foundation of transparent and efficient financial management. The system ensures real-time insights, allowing property managers to proactively address issues.

In summation, our tenant debt tracking system transcends its core function, impacting property management at various levels. From bolstering efficiency and financial transparency to nurturing healthier tenant relationships, the system exemplifies the power of user-centered design in revolutionizing operational processes and optimizing stakeholder satisfaction.
